Terms & Conditions of Booking & Entry

Thank you for booking a session at Dewdrops Play Café.

Please read the following Terms & Conditions carefully before your visit.

By attending Dewdrops Play Café, you agree to comply with the conditions below.

 

1. Stay & Play Supervision

Dewdrops Play Café operates as a stay-and-play facility.

  • Children remain under the supervision and responsibility of their parent or carer at all times.

  • Dewdrops Play Café does not provide childcare.

  • Children must not be left unattended anywhere on the premises.

Parents/carers must remain on-site throughout their booking.

 

2. Supervision in External Areas

Parents and carers are responsible for supervising children at all times in:

  • The car park

  • Entrance areas

  • Surrounding external spaces

Dewdrops Play Café accepts no responsibility for incidents occurring outside the premises.

 

3. Arrival & Session Times

  • Please arrive on time for your booked session.

  • Sessions may have a set duration to allow cleaning between groups.

  • Late arrival may reduce your play time.

  • Staff reserve the right to refuse entry outside of booked session times where capacity limits apply.

4. Footwear Policy

For hygiene and safety reasons:

  • Outdoor shoes are not permitted anywhere inside the café.

  • Socks must be worn by both adults and children at all times.

  • Bare feet are not permitted.

Entry may be refused if this policy is not followed.

 

5. Food & Drink Policy

To maintain hygiene and manage allergies:

  • No food or drink is permitted in the sensory room.

  • No food or drink is allowed on play equipment.

  • Food may only be consumed in designated café seating areas.

  • Outside food is not permitted on the premises.

Only food and drink purchased at Dewdrops Play Café may be consumed onsite.

Exceptions apply for:

  • Baby food

  • Baby formula

  • Medically required items.

 

6. Health & Illness

Please do not attend if you or your child:

  • Have had sickness or diarrhoea within the previous 48 hours.

  • Have a contagious illness.

  • Are feeling unwell.

Management reserves the right to refuse entry where illness may pose a risk to others.

 

7. Safe Use of Play Equipment

Parents/carers are responsible for ensuring children:

  • Use equipment appropriately for their age and ability.

  • Play safely and respectfully.

  • Follow staff instructions where safety concerns arise.

Staff may intervene if behaviour presents a risk to others.

 

8. Accidents & Injuries

While Dewdrops Play Café takes reasonable steps to maintain a safe environment, play activities carry inherent risks.

Parents/carers remain responsible for supervising children during play.

All accidents requiring first aid may be recorded in accordance with our safety procedures.

 

9. Personal Belongings

Dewdrops Play Café accepts no responsibility for loss, theft or damage to personal belongings including:

  • Pushchairs

  • Bags

  • Coats

  • Phones

  • Toys or personal items

Items are brought onto the premises at the owner’s risk.

 

10. Photography

Visitors may take photographs of their own children only.

Photography or filming of other children without permission is not permitted.

 

11. Behaviour & Right to Refuse Service

We aim to provide a safe and welcoming environment for all families.

Management reserves the right to refuse entry or ask visitors to leave if:

  • Safety rules are not followed

  • Children are not adequately supervised

  • Behaviour places others at risk

  • Staff or customers are treated disrespectfully

Refunds may not be issued in these circumstances.

 

12. Cleaning Between Sessions

To maintain hygiene standards, cleaning takes place between play sessions. Visitors must leave promptly at the end of their allocated session time.

 

13. Liability

Dewdrops Play Café maintains risk assessments and safety procedures; however, attendance and use of play equipment is undertaken at the visitor’s own risk.

Nothing within these terms excludes liability where it cannot legally be excluded under UK law.

 

14. Agreement

By completing your booking and attending Dewdrops Play Café, you confirm that you have read and agree to these Terms & Conditions.

Booking Waiver

Booking Terms, Supervision Agreement & Liability Waiver

By completing a booking and attending Dewdrops Play Café, you acknowledge and agree to the following terms:

Supervision Responsibility

Dewdrops Play Café operates as a stay-and-play facility and does not provide childcare.

Children remain under the full supervision and responsibility of their parent or carer at all times during their visit.

Parents or carers must:

  • Remain on the premises at all times.

  • Keep their child within sight and under supervision.

  • Supervise children whilst using all play and sensory equipment.

  • Supervise children in toilets, baby changing areas, the car park, and surrounding external areas.

Dewdrops Play Café accepts no responsibility for children who are not adequately supervised.

 

Use of Play Equipment

All play and sensory equipment is used at your own risk.

Parents and carers are responsible for ensuring:

  • Equipment is used appropriately for the child’s age and ability.

  • Children play safely and respectfully.

  • Unsafe behaviour is addressed immediately.

Staff may intervene where safety is at risk.

Health & Hygiene Rules

For hygiene and safety reasons:

  • No food or drink is permitted in the sensory room or on play equipment.

You agree not to attend if you or your child:

  • Have experienced sickness or diarrhoea within the previous 48 hours.

  • Have a contagious illness.

Management reserves the right to refuse entry if a visitor appears unwell.

 

Accidents & Injuries

While Dewdrops Play Café takes reasonable steps to provide a safe and well-maintained environment, play activities involve inherent risks.

By attending, you acknowledge that minor accidents may occur during normal play.

Parents/carers remain responsible for supervising and assisting their children at all times.

 

Personal Belongings

Dewdrops Play Café accepts no responsibility for loss, theft, or damage to personal belongings including:

  • Pushchairs

  • Bags

  • Phones

  • Coats

  • Toys or personal items

 

Items are left at the owner’s risk.

 

Car Park & External Areas

Parents and carers are responsible for supervising children at all times within the car park and surrounding areas.

Dewdrops Play Café accepts no liability for incidents occurring outside the premises.

 

Agreement

By completing your booking, you confirm that:

  1. You have read and understood these terms.

  2. You accept responsibility for supervising all children in your care.

  3. You agree to follow Dewdrops Play Café safety and hygiene rules.

Cancellations & Refunds Policy

1. Policy Statement

Dewdrops Play Café aims to provide a fair and transparent booking system for all customers.

As session spaces are limited and prepared in advance, cancellations and changes must follow the policy outlined below.

 

2. Booking Confirmation

Bookings are confirmed once:

  • Payment has been received, and

  • A confirmation email has been issued.

Customers are responsible for checking booking details at the time of confirmation.

 

3. Customer Cancellations

More than 24 Hours Notice

Where cancellation is made more than 24 hours before the booked session, customers may be offered:

  • A session transfer to an alternative date (subject to availability), or

  • A credit note for future use.

Refunds may be issued at management discretion.

 

Less than 24 Hours Notice

Cancellations made less than 24 hours before the session are:

  • Non-refundable, and

  • Non-transferable.

This is due to limited session capacity.

 

4. Failure to Attend (No Show)

Failure to attend a booked session without notice will result in:

  • Loss of the booking payment.

 

5. Late Arrival

  • Sessions run to scheduled times to allow cleaning between groups.

  • Late arrival may reduce available play time.

  • Sessions cannot normally be extended.

 

6. Illness Consideration

If a child cannot attend due to illness, management may offer a session transfer where reasonable notice is provided.

This remains at management discretion.

 

7. Cancellation by Dewdrops Play Café

In rare circumstances where Dewdrops Play Café must cancel a session due to:

  • Safety concerns

  • Staff illness

  • Building issues

  • Unforeseen circumstances

Customers will be offered:

  • An alternative session, or

  • A full refund.

 

8. Severe Weather or Emergency Closure

Where closure occurs due to circumstances beyond our control, including severe weather or emergencies, we will aim to offer:

  • Session transfer, or

  • Credit note where possible.

 

9. Party Bookings (If Applicable)

Separate cancellation terms may apply to private hire or party bookings and will be provided at time of booking.

 

10. Management Discretion

Management reserves the right to consider exceptional circumstances on a case-by-case basis.

 

11. Policy Review

This policy will be reviewed annually or following operational changes.
